Gap Analysis

Identifying Deviations and Risks in Medical Devices in a Timely Manner

Prior to an audit, conformity assessment, or certification of medical devices or in vitro diagnostic devices, it is crucial that the product, processes, and documentation are adequately prepared. Incomplete evidence, missing processes, outdated standards, or unclarified requirements often only come to light during the conformity assessment process. This can lead to follow-up inquiries, rework, nonconformities, delays, and additional costs.

What is a gap analysis?

A gap analysis assesses the technical and regulatory readiness of a project based on the agreed-upon audit framework. It identifies which requirements have already been addressed according to technical assessment, where action is needed, and what implications this may have for the formal process. The result is an overview of the identified deviations and areas requiring action, ranked by relevance. It serves as a working basis for preparing for an audit, conformity assessment, or certification.

Result

A structured analysis of the current status based on the agreed-upon regulatory review framework provides a solid foundation for further preparation. This analysis makes it clear which issues, based on expert assessment, need to be addressed before the formal process begins and which can be addressed later in the process:

  • Intended use, qualification, and classification as a reference framework
  • Requirements from the MDR and IVDR considered in the audit framework
  • Relevant standards and their current status
  • Completeness and verifiability of the technical documentation provided
  • Maturity and demonstrability of the processes and the quality management system
  • Clinical evaluation, performance evaluation, and post-market requirements
  • Interfaces with other regulatory areas
  • Relevance, effort, and impact of the identified need for action on the further procedure

Procedure

  1. Define the audit framework
Align the product, target market, procedures, audit depth, and scope of documentation, and define the regulatory requirements, standards, and guidelines to be considered in the audit framework.
  2. Review documents and processes
Analyze the available documentation, evidence, and process descriptions based on the defined audit framework, including consistency and traceability.
  3. Evaluate Deviations
Technical assessment of the identified need for action based on relevance, urgency, and effort, as well as its potential impact on the further process and timeline.
  4. Derive recommendations for action
Summary of the results in an overview sorted by relevance, with specific recommendations for further action.

Depending on the needs, the process may include discussions, consultations, or workshops—for example, for preparation, to clarify interim questions, and to jointly assess the results.

Benefits

  • Structured overview of the status of technical and regulatory preparations
  • Early identification of issues that may become relevant during the process
  • Technically sound prioritization of necessary actions
  • Potential for fewer follow-up inquiries, rework, nonconformities, and complaints
  • More realistic planning of time, effort, and resources
  • Independent external perspective on existing documentation and processes
  • A transparent basis for decision-making in internal and external coordination
